Vantage Estimating LLC, operating as Vantage Estimating (“Vantage,” “we,” “us,” or “our”), is a Wyoming limited liability company providing construction estimating, material and quantity takeoff, bid-support, budgeting, and related preconstruction services. This Privacy Policy describes how we collect, use, disclose, retain, and protect information when you visit vantageestimating.com, submit a form or project file, communicate with us, request a quotation, or use our services.

This Privacy Policy is a notice of our practices and is not a contract for estimating services. Project-specific services are governed by the applicable quotation, Statement of Work, service agreement, and Terms of Service. This Policy does not govern third-party websites or services that maintain their own privacy notices.

Information We Collect

Depending on how you interact with us, we may collect:

Contact and business information, including your name, company, job title, professional role, email address, telephone number, business address, and communication preferences.
Project and service information, including project name and location, bid date, trade or scope, requested deliverables, budget information, project stage, deadlines, pricing instructions, and messages.
Project files and content, including drawings, plans, specifications, schedules, addenda, bid forms, photos, models, spreadsheets, templates, and other documents you choose to submit.
Transaction and billing information, including quotations, accepted proposals, invoices, payment status, billing contact details, tax records, and limited payment-related information. Full payment-card data is generally handled by the applicable payment processor rather than stored by Vantage.
Communications, including emails, form submissions, call or meeting notes, support requests, feedback, and records of consent or preferences. Calls are recorded only where appropriate notice and legally required consent are provided.
Website and device information, including IP address, browser and device type, approximate location derived from IP address, referring page, pages viewed, timestamps, cookie identifiers, and interactions with the website.

Project Files and Confidential Business Information

We treat nonpublic project files and business information as confidential and use them only for authorized business purposes, including evaluating an inquiry, preparing a quotation, performing and supporting the services, quality review, billing, security, legal compliance, and dispute resolution.

Access is limited to personnel, contractors, and service providers who reasonably need the information for an authorized purpose and who are subject to confidentiality obligations appropriate to their role. We do not publish client project files, identify a client or project in marketing, or use project documents as a public sample without written authorization.

A separate nondisclosure agreement may supplement this Policy when signed by both parties. No storage, transmission, or security method is completely risk-free, and Vantage does not promise absolute security or complete protection against every unauthorized event.

How We Disclose Information

We may disclose information to:

service providers that support hosting, cloud storage, email, communications, customer relationship management, analytics, security, file transfer, payment processing, accounting, estimating software, and professional operations;
Live chat and communications providers, including tawk.to, which we use to provide website live chat and customer communications. When you use the chat feature, tawk.to may process chat content, contact information, device information, IP address or approximate location, and related technical data on our behalf. Where required by applicable law, the chat interface may request your consent before monitoring, recording, or processing the conversation.
authorized employees, estimators, quality reviewers, consultants, and contractors involved in delivering or supporting the services;
attorneys, accountants, insurers, auditors, and other professional advisers when reasonably necessary;
government authorities, courts, or other parties when required by law or reasonably necessary to enforce agreements, investigate fraud or security incidents, or protect rights, safety, and property;
a successor or transaction participant in connection with a merger, financing, acquisition, reorganization, or sale of business assets, subject to appropriate safeguards; and

We do not sell personal information for money, and we do not use client project files for targeted advertising. If our future use of advertising technologies constitutes a sale or sharing under an applicable privacy law, we will provide the notices and choices required by that law.

Remote and Cross-Border Processing

Vantage is organized in Wyoming and serves customers through a remote operating model. Information, including project files, may be accessed, stored, or processed in the United States and in other countries where authorized personnel or service providers operate, including Pakistan. Those countries may have privacy laws different from the laws in your location.

Do not submit information that is subject to a legal, contractual, customer, government, export-control, or data-residency restriction that prohibits this processing unless Vantage has approved a separate compliant arrangement in writing before submission.

Cookies and Similar Technologies

We and our service providers may use cookies, tags, pixels, local storage, live chat technologies, and similar technologies to operate the website, remember preferences, measure traffic, understand website use, improve performance, prevent abuse, and support marketing where permitted. These technologies may be categorized as strictly necessary, functional, analytics, or advertising.

Where required, nonessential technologies will be used only after an appropriate consent choice. You can manage available choices through the website cookie banner or the “Cookie Preferences” link and through your browser settings. Blocking some technologies may affect website functions.

We do not currently respond to browser “Do Not Track” signals because there is no uniform industry standard. Where required by applicable law, we will recognize legally valid opt-out preference signals, such as Global Privacy Control, for the relevant browser or device.

We may send communications needed to respond to an inquiry, manage a project, deliver services, collect payment, provide support, or address security and legal matters. Where permitted, we may also send relevant business marketing. You may unsubscribe from marketing emails using the method in the message or by contacting us. Project, billing, and other nonmarketing communications may continue while a business relationship remains active.

Data Retention

We retain information only for as long as reasonably necessary for the purposes described in this Policy, including service delivery and support, the client relationship, accounting and tax requirements, security, legal compliance, claims, and dispute resolution. Retention depends on the information type, sensitivity, project agreement, legal obligations, and whether a dispute, audit, or investigation is pending.

When information is no longer reasonably required, we take appropriate steps to delete, anonymize, or securely dispose of it. Backup copies may remain for a limited period until overwritten through normal backup cycles.

Information Security

We use reasonable administrative, technical, and organizational safeguards designed for the nature of the information we handle. Safeguards may include access restrictions, account authentication, vendor-provided encryption, backups, confidentiality obligations, malware protection, logging, and incident-response procedures. No system is completely secure, and we cannot guarantee absolute security.

Your Privacy Choices and Rights

Depending on your location and applicable law, you may have the right to request access to, correction of, deletion of, or a copy of certain personal information; opt out of certain processing; withdraw consent where processing is based on consent; or appeal a privacy decision. Restricted and Sensitive Information

Unless Vantage has approved a separate compliant workflow in writing, do not submit classified information; Controlled Unclassified Information (CUI); Federal Contract Information; Covered Defense Information; ITAR- or EAR-controlled technical data; law-enforcement-sensitive material; security-sensitive critical-infrastructure information; protected health information; Social Security numbers; account passwords; or complete payment-card credentials.

Vantage may reject, quarantine, or delete prohibited files and may suspend review or performance while legal, security, or contractual requirements are assessed.

Third-Party Websites and Services

The website may link to third-party websites, payment services, file-transfer tools, software providers, or social platforms. Their practices are governed by their own terms and privacy notices. Vantage is not responsible for third-party privacy or security practices.

Changes to This Privacy Policy
